Email Senders

Last updated: October 16, 2026

An Email Sender is a mailbox used to send outbound emails.

Important: Use dedicated mailboxes for outbound sending, not your personal work email address. Topo's sending infrastructure is optimized for high-volume outreach, and routing that traffic through your primary business email can negatively affect its deliverability and create broader issues for your domain over time. Topo typically sets up dedicated sending addresses for you, depending on the Mailbox & Domain bundle you purchased. Additionally, keep outbound campaigns on separate domains from your company's primary domain — using your primary domain for outbound can degrade its reputation, causing all professional emails from company employees to be marked as spam more easily.

Supported providers: Topo supports connecting mailboxes from Google Workspace and Microsoft 365 only. SMTP/IMAP providers (such as OVH Zimbra) are not currently supported. You can either purchase managed mailboxes from Topo or connect your own Google Workspace or Microsoft 365 mailbox (available on all plans, including monthly Starter plans) at Settings > Senders (https://agent.topo.io/settings/senders). Connecting your own mailbox allows you to send emails, receive replies, and automatically stop follow-ups when a prospect responds.

Status: Valid (can send) / Invalid (connection issue) / Deleted (not usable).

Deliverability & limits: Topo manages gradual warm-up (usually 2 weeks; Google shows scores first, Microsoft takes longer), weekly deliverability tests, and automatic volume reduction if score drops. Email senders must achieve a deliverability score of 9 or 10 before they can be used in sequences to prevent emails from landing in spam.

  • Score of 10 = 30 emails

  • Score of 9 = 20 emails

  • Score of 8 = 10 emails

  • Score of 7 or lower = 0 emails

You can use LinkedIn sequences while mailboxes are warming up. Scores appear gradually — this is normal.
