Understanding the Inbox tab
Last updated: October 16, 2026
The Inbox is your unified mailbox in Topo: every conversation with your leads, across all your senders and both channels (email and LinkedIn), in one place. It's the Inbox tab on the Tasks page, and it replaces the old Master Inbox page. It works like a classic mailbox, with four views you pick from the menu at the top of the list: To reply, All replies, Archived and Sent. To reply opens by default.
How the Inbox works
A few things to know:
A draft is waiting for you. When you open a reply, Topo has already written an answer in the composer. Edit it, send it as it is, or use Tweak to make it shorter, longer, more casual or more direct, or to try a different angle. Drafts don't use credits.
Done and archived are different. Mark as done clears the conversation from To reply without archiving it. Archive (in the ⋯ menu) tidies the conversation away for the whole team.
Conversations no longer move around on their own. Replying used to send a thread from To Do to Done. Now, when you reply, the conversation stays in your Inbox and is marked as read. Nothing leaves your Inbox unless you archive it yourself.
A reply now stops the sequence for good. Previously a reply only paused the sequence for a while. Now, as soon as a lead replies, or an email bounces, their sequence is stopped permanently. Out of office replies still only pause the sequence: the contact is automatically added to the exclusion list for 1 week (configured in Settings > Organization > Exclusions), and the sequence automatically resumes after the exclusion period expires. This is why there is no Stop sequence button in the Inbox: there is nothing left to stop manually. If you never want to contact someone again, use ⋯ → Do not contact.
Only real conversations show up. Bounces and technical delivery messages no longer clutter your Inbox. You will find delivery status in the Sent tab instead.
Pagination. The Inbox is paginated instead of one long scrolling list.
The four views
To reply
Conversations waiting for your answer. The count on the Inbox tab shows how many.
All replies
Every conversation where a lead has replied at least once, newest activity first.
Each conversation shows who replied, on which channel, and how the reply was categorised (Interested, Meeting booked, Out of office, and so on).
Sent
Every message that left Topo, in chronological order: the ones written manually by your team and the ones sent automatically by your sequences. This is where you check what was actually sent to a lead, including delivery status (delivered or bounced).
Archived
Your manual tidy up space. Archiving is always your action, never automatic. Select one or several conversations, or use the Archive button inside a thread, to move them out of the Inbox.
Two things to know: archiving applies to the whole workspace, and anyone on your team can unarchive. And if an archived lead replies again, the conversation automatically comes back to your Inbox.
What you can do from a conversation
Reply directly, by email or on LinkedIn, without switching to your email client. Best practice: respond within the same business day.
Archive it to move it out of your Inbox.
⋯ → Do not contact if you never want this contact reached again.
⋯ → Mark as unread.
Click Contact details in the lead's header for the full contact record, sequence position and activity.
Correct the reply category if the automatic one is wrong, using the category selector on each message.
Finding a conversation
Search at the top of the list.
Filters to narrow by sequence, reply category (Positive, Negative, Other), channel or sender identity. To view replies hidden by category filters, open Filters at the top of the list, go to Reply Category, add the category you want to see, such as Out of Office, and click Apply.
Unread only to hide everything you have already read.
Pagination at the bottom of the list to move between pages.
Next Steps by Reply Type
The sequence is already stopped by the time you read the reply, so your next step is about the conversation, not about the sequence.
Positive reply: book a meeting.
Objection: handle the concern, then steer toward a meeting.
Negative reply: archive the conversation. Add the contact to your exclusion list if they should never be contacted again.
Out of office: the sequence is paused for 1 week via automatic exclusion, then resumes automatically. Check the signature for an alternative contact or a return date. Set a reminder for the day before their return and send a short manual email to reopen the conversation.
Reply Categories
The AI automatically categorises each reply: Meeting, Interested, Referral, Bad Timing, Not Interested, Wrong Person, Left Company, Out of Office, Spam Filter, Unsubscribed, Bounced, or Unknown when it can't tell. The Positive, Negative and Other filters group these categories together. These categories power your Analytics statistics.
Update a category manually when the AI has misclassified a reply, or when a conversation that was categorised differently later turns into a meeting. Accurate categories mean accurate analytics.
Bounced is still a category on the reply itself, but a bounce no longer creates a conversation in your Inbox. Check the Sent tab for delivery status.
