FAQ: Tasks
Last updated: August 13, 2026
Can I edit the AI draft before sending?
Yes, fully editable. You can also regenerate a new draft using the wheel icon, or adjust tone and length using the chips below the draft.
What’s the difference between Tasks and the Master Inbox?
Tasks is an action queue, it only shows items that need your attention.
The Master Inbox is your full mailbox: Inbox for conversations where a lead replied, Sent for everything Topo sent, Archived for what you have tidied away. Tasks is what to do next, the Master Inbox is the record.
The two surfaces are independent. Completing or skipping a task does not archive the matching Master Inbox conversation, and archiving a conversation does not close its task.
What does Skip do?
It moves the task to Done and loads the next one. No message is sent and no action is taken on the lead.
A lead I closed has replied again — what happens?
A new task is created automatically when the lead replies.
Can I set reminders or snooze a task?
Yes — go to Settings → Tasks → Reminders. You can set rules to reopen a task if a lead hasn’t replied after a set number of days, or to reopen a call task if it went unanswered or to voicemail.
Reminder rules apply to the tasks Topo creates from sequences. To-dos have no reminders and no overdue notifications, overdue is a red label in the app only.
Where do I find completed and skipped tasks?
In the Done tab at the top of the Tasks view. You can view past conversations, reopen tasks, or continue the conversation directly from there.
Can I customise the AI tone per task?
Yes — use the chips below the draft to override tone and length for that specific task. To change the default for all tasks, go to Settings → Tasks.
Can I change the company voice or messaging style?
Custom company voice configuration is coming soon. In the meantime, update your Organisation Context in Settings → Tasks to shape how drafts are written.
Does a new hot lead create a Task?
No, currently a lead that becomes hot doesn't create automatically a task. Topo doesn't have a specific type of task for Hot Leads.
Can I create my own task?
Yes. Click + New on the Tasks page (or + New to-do on a lead's Tasks tab) to create a standalone to-do with a title, notes, due date, assignee, and an optional linked contact. It isn't tied to any sequence. It can also sync to your CRM, as long as task sync and the To-do type are enabled in your CRM integration settings and the to-do is linked to a contact.
How do I delete a to-do?
You can't delete tasks. Skip it instead. It moves to the Done tab as Skipped, and you can reopen it later if you need it back.
Can I set a priority on a to-do, or sort to-dos by due date?
No. To-dos have no priority field, and the To-dos group is ordered by when each one was created, newest first. Overdue items are highlighted in red but they stay in place.
I created a to-do for a teammate and I can't find it.
My tasks only shows what is assigned to you. Switch the view to All tasks or select that teammate to see it.
Why can't I edit this to-do?
Only the creator or the current assignee can change a to-do's title, notes, due date, or linked contact. Everyone else sees those fields read only. Anyone can still complete, skip, reopen, or reassign it.
Can a to-do be linked to a company or a list?
No, only to a contact. The company shown next to the to-do comes from that contact, and list filtering works through the contact's list membership.
Can I change the linked contact after creating a to-do?
Not from the app today. The title, notes, and due date are all editable in place.
