FAQ: Sequences
Last updated: July 24, 2026
Can I set a cap on the number of leads per sequence?
There's no dedicated cap feature. Specify the desired volume by going into the sequence's page > "Settings" > "Sending" and change the number under "Daily target".
Can I target multiple different signals in one sequence?
Yes — you can do that. Create a list for every signal you'd like to target. Build a sequence to target those signal and link each of those lists to such sequence.
Can I review leads before they're contacted by my sequence?
Yes — in your sequence page, switch to Copilot mode.
Go to the "Settings" tab > "Overview" > "Lead Approval Mode" > select "Copilot" from the dropdown.
Can follow-up emails have different subject lines?
Yes, follow-up emails can have different subject lines.
In your sequence page, go to "Settings" > "Messages" and click on "Edit sequence".
Add the first email in your sequence branch by clicking on "Email".
Add a subject line to your email, then add an email body.
Click on "Add a step" and click on "Email" again to add a second email message.
Under "Email thread", click on the dropdown and select "New thread". This will add a subject line to your second email.
Add a subject line to your second email.
In this way, the two emails will be sent as separate emails with different subject lines. They will not appear in the same email thread.
Does Topo detect lead timezones?
Yes, automatically when data is available. If no timezone data exists or your sending window doesn't overlap with the lead's timezone, the system falls back to your defined schedule.
Can I add images to emails?
Images can only be added when replying to an email — not in new outbound emails, as they trigger spam filters.
Can I use first-name personalization in LinkedIn messages?
Yes. Use {{recipient_first_name}} in your LinkedIn message.
What does "No fallback value" mean?
If Topo can't match a variable (e.g., {{recipient_company_name}}) for a contact, that step will fail. Provide a fallback value (plain text without variables), e.g., "your company".
Can I use a "Previous Company" variable?
No — "Previous Company" is not currently available as a custom variable.
How can I setup the unsubscribe footer in my emails?
We do not currently offer an integrated unsubscribe footer. Typically, our customers either create their own or include a postscript such as "just reply no if you want me to stop," with the wording tailored to their ideal customer profile (ICP). This also helps generate more replies than a simple unsubscribe link.
Can different people send emails and LinkedIn messages in the same sequence?
Yes.
Can I use my email but a colleague's LinkedIn for the same sequence?
Yes, you can use two Sender Identities in the same sequence, choosing one for the email steps and one for the LinkedIn steps. To do so, in your sequence's settings, go to the tab Sending, then scroll down to Senders. Here, under Who sends across channels, you can click on One per channel. This will make sure that the two identities are used for separate channels.
Why is the Save button greyed out on the Sending page?
When editing the Sending page for a sequence, you may notice that the Save button appears greyed out and cannot be clicked, even though you don't see any obvious errors or missing information on the page.
A greyed-out Save button means that all current settings have already been saved — there are no new unsaved changes to apply.
The Save button only becomes clickable when there is a change that differs from the last saved state. For example:
If you add a day to the sending schedule, the Save button will become active.
However, if you then remove that same day immediately after, the settings return to their previously saved state, and the Save button will become greyed out again since there is nothing new to save.
If you are trying to make changes and the Save button remains greyed out, double-check that your edits are actually different from the currently saved configuration.
How can I manually add leads to a sequence?
Note: Manual enrollment must be done from the Lists page. The "Enroll in sequence" action is not available on the Leads page.
