Context

Sequences allow you to leverage automation to boost your outbound capabilities. Their technical setup however can be tricky as many different elements need to be kept in mind. Here are some frequently asked questions.

Can I set a cap on the number of leads per sequence?

There's no dedicated cap feature. Specify the desired volume by going into the sequence's page > "Settings" > "Sequence" and change the number under "How many leads do you want to reach out to per day?". Alternatively, manually set the sequence to "Finishing" once you've reached your target.

Can I target multiple different signals in one sequence?

Yes — you can do that. Create a list for every signal you'd like to target. Build a sequence to target those signal and link each of those lists to such sequence.

Can I review leads before they're contacted by my sequence?

Yes — in your sequence page, switch to Copilot mode.

Go to the "Settings" tab > "Sequence" > "Lead Approval Mode" > select "Copilot" from the dropdown.

Can follow-up emails have different subject lines?

Yes, follow-up emails can have different subject lines.

  1. In your sequence page, go to "Settings" > "Messages" and click on "Edit sequence".

  2. Add the first email in your sequence branch by clicking on "Email".

  3. Add a subject line to your email, then add an email body.

  4. Click on "Add a step" and click on "Email" again to add a second email message.

  5. Under "Email thread", click on the dropdown and select "New thread". This will add a subject line to your second email.

In this way, the two emails will be sent as separate emails with different subject lines. They will not appear in the same email thread.

What happens when I modify an existing sequence?

Changes made to a sequence only apply to new leads that enter after the modification. Leads already queued in your Tasks will retain the original message content and sequence structure.

To modify a sequence, go to the sequence's page "Settings" > "Messages" > "Edit sequence". Note that you cannot change the order of sequence steps from the Tasks view — step ordering can only be modified from Sequences > Settings > Messages > Edit sequence.

Does Topo detect lead timezones?

Yes, automatically when data is available. If no timezone data exists or your sending window doesn't overlap with the lead's timezone, the system falls back to your defined schedule.

Can I add images to emails?

Images can only be added when replying to an email — not in new outbound emails, as they trigger spam filters.

Can I use first-name personalization in LinkedIn messages?

Yes. Use {{recipient_first_name}} in your LinkedIn message.

What does "No fallback value" mean?

If Topo can't match a variable (e.g., {{recipient_company_name}}) for a contact, that step will fail. Provide a fallback value (plain text without variables), e.g., "your company".

Can I use a "Previous Company" variable?

No — "Previous Company" is not currently available as a custom variable.
