Sender Identities, Email Senders & LinkedIn Senders

Topo separates who sends (Identities) from how messages are sent (Email or LinkedIn Senders). Campaigns are always assigned to Identities, not individual Senders.


1. Sender Identities

A Sender Identity represents a real human sender. It contains first name, last name, and job title — and groups one or more Email Senders + one LinkedIn Sender. Every campaign is assigned to an Identity; a Sender cannot be used in any campaign unless linked to an Identity.

Creating or editing an Identity

Settings → Sender Identity → create or edit → fill first name, last name, job title → Save. Missing fields prevent the Identity from being assigned to campaigns.

Identity across multiple campaigns

Sending capacity is evenly distributed. Example: 1 Identity with 30 email Senders assigned to 2 equal-volume campaigns → behaves like 15 Senders per campaign.

Lead re-engagement: By default, Topo prevents re-engaging leads who were contacted in the past 90 days across all campaigns. This safeguard helps avoid double-touching leads and protects deliverability. If a lead was contacted in one campaign, they won't appear in another campaign until 90 days have passed.


2. Email Senders

An Email Sender is a mailbox used to send outbound emails.

Important: Use dedicated mailboxes for outbound sending, not your personal work email address. Topo's sending infrastructure is optimized for high-volume outreach, and routing that traffic through your primary business email can negatively affect its deliverability and create broader issues for your domain over time. Topo typically sets up dedicated sending addresses for you. Adding an email sender may require verification.

Status: Valid (can send) / Invalid (connection issue) / Deleted (not usable).

Deliverability & limits: Max 30 emails/day per mailbox. Topo manages gradual warm-up (2–3 weeks; Google shows scores first, Microsoft takes longer), weekly deliverability tests, and automatic volume reduction if score drops.

  • Score 8–10 → healthy

  • Score 7 → reduced sending

  • Score 6 or below → sending paused until recovery

You can use LinkedIn campaigns while mailboxes are warming up. Scores appear gradually — this is normal.


3. LinkedIn Senders

A LinkedIn Sender is a connected LinkedIn account for invitations and messages.

Connection methods: Email + password (recommended) or cookies.

Status: Valid / Invalid (needs reconnection) / Deleted.

Daily/weekly limits: Messages: 30/day, 150/week. Invitations: 100/week. Invitation message length: 200 characters. If limits are reached, invitations are sent without a message.

LinkedIn Sender across multiple campaigns

The Sender tries to reach the daily target of one campaign first, then moves to the next. Example: 1 LinkedIn Sender, 3 campaigns at 30 leads/day each → up to 90 leads/day before follow-ups. Best practice: keep per-campaign daily targets low when sharing one LinkedIn account.

Important: Do not use another LinkedIn automation tool simultaneously — it increases the risk of LinkedIn restrictions or bans.


FAQ

Why can't I assign my Sender to a campaign?

Campaigns are assigned to Identities, not Senders. Check: Identity exists, required fields are filled, Senders are linked to that Identity.

I see 0 active senders in my campaign. What should I check?

Is an Identity assigned to the campaign? Does the Identity contain valid email and/or LinkedIn Senders? Are Senders in Valid status? Check Sender Identity → Sender status → Campaign assignment — that's where almost all configuration issues originate.

Can one Identity be used in multiple campaigns?

Yes. Sending capacity is automatically distributed across campaigns.

Can I use multiple email Senders in one Identity?

Yes — increases email sending capacity.

Can different people send emails and LinkedIn messages in the same campaign?

Yes.

Can I use my email but a colleague's LinkedIn for the same campaign?

Not currently. Assigning an Identity links Email and LinkedIn Senders together. Splitting them is not yet supported.

Can an email Sender be linked to multiple Identities?

No. Each Sender can only be linked to a single Identity. Removing a Sender from an Identity will delete the whole Identity if it's the only Sender. Create separate Identities for specific Senders as a workaround.

Can I hide LinkedIn message replies from the inbox?

Only replies from Topo campaigns appear in the Master Inbox. LinkedIn conversations not started by Topo are never shown there.

Do you have access to my LinkedIn credentials or messages?

Credentials: No. Messages: only replies from leads contacted via Topo.

How do I remove a LinkedIn Sender?

Settings → Senders → three dots next to the LinkedIn Sender → Edit → Remove Sender.

How to limit contacts reached per company?

Switch the campaign to Copilot Mode → manually approve only N leads per company and reject the rest.
