Understanding the Lists page

Lists 101. The goal of this article is to give users a complete walkthrough of the Lists section in Topo — from navigating the lists overview to inspecting individual contacts — so they can confidently manage their prospecting lists.
Lists hold two different things: contact lists, which group people, and account lists, which group companies. Most of this article applies to both. Where the behaviour differs, it is called out.
The Lists overview page
When you open the Lists page, you'll see a table showing every list created by anyone in your organisation. Each row displays:
List name
Status: Static — the list comes from a lead search and holds a fixed set of leads, or Live — the list is fed by a signal and keeps growing while that signal runs
Number of enriched leads in the list (Pending and Rejected excluded)
Type: Account or Contact
Linked sequence (shows "Not applicable" for account lists)
Created by: workspace member who created the list
Created at: creation date of the list
Actions (Import contacts, Link sequence, Rename, Archive). Link sequence is only on contact lists. When a sequence template is already linked, the label is Change sequence.
Finding and filtering lists
Quick filters: All, Signals, CRM, Contacts, Accounts
Use the search bar (top left) to find a list by name.
Use the filter options (top left): Created by, other filters.
Taking action on lists
Select one or more lists using the checkboxes on the left side of the table.
Open the action menu by clicking the three-dot icon on the right side of any row. From there you can:
Import contacts or accounts, depending on the list type
For Live lists (Signals), Edit or Resume the Signal
On a contact list, Link sequence opens the same window as Link sequence in the Linked sequence column and attaches the list to a sequence template. When one is already linked, the label is Change sequence. Account lists do not show it. Archived lists still show only Unarchive.
Rename the list
Archive the list
Link/unlink the list to a sequence
Note: You can link multiple lists to the same sequence, but each list can only be linked to one sequence at a time. The sequence must be in Active status before it can be linked to a list.
Creating a new list
Click the Create List button at the top right of the page.
Choose Contact or Account, give the list a name, and pick its source.
Lead Search, then click Continue to Lead Search to build your targeting.
From a CSV.
To create a list that fills itself over time, select Signal.
From your CRM. Import a company segment from your CRM, either static or dynamic. Dynamic lists keep syncing in the background.
Note: When importing contacts from the same lead search multiple times into different lists, the system should re-import leads that have already been imported from that search. If that doesn't happen, please contact our support team with the urls of the relevant searches, lists and some screenshots as evidence.
Account lists
An account list groups companies rather than people. There are three ways to build one:
From the Accounts page. Select the companies you want with the checkboxes, then use Add to list in the action bar.
From the Lists page as described above.
Once an account list exists, you can scope a lead search to it with the Account Lists filter, which returns only people working at those companies.
Inside a list
Click on any list name to open it. You'll see all the leads that currently belong to that list, along with several actions at the top of the page:
Link to Sequence — shows the linked sequence name when a sequence is connected; click to link or update. Click on the arrow on the right to directly open the associated sequence.
Actions button
Import leads — opens the import modal, where you can open a search or import from CSV
Rename — click the three-dot menu, then Rename
Duplicate
Exclusion settings: lets you decide if you want to import contacts from excluded accounts for this list
Archive
Working with individual contacts
From inside a list, each row represents a lead. Here's what you can do:
Quick actions
Click the LinkedIn icon to the left of a lead's name to open their LinkedIn profile in a new tab.
Click on the lead's name, job title, or sequence to open the contact detail drawer.
Displayed information
Email
Job title
Company location
LinkedIn URL
Phone
Location
Account
Status: if enriched, unmatched (couldn't find contact email), bounced (could find contact email but was bounced).
Sequences
Sequence status
Lead detail panel
At the top of the detail panel, you can navigate between three tabs:
Overview: the default view with contact and company details described above. Click the pen icon next to the lead's name to edit their details. See 📄 Editing a contact or company.
Sequence — if the lead is enrolled in a sequence, this tab shows the sequence steps the contact is going through (or will go through). You can assign a sender to test variables, inspect and edit individual messages, and take action on steps. To customize a message for this specific contact, click on "Edit sequence", find the upcoming email step you want to customize, edit the message, and save your changes. Once a step is already scheduled or sent, it is locked and cannot be changed, so you must edit it before it schedules.
Lists — see lists the contact belongs to.
Tasks — see tasks you need to complete on the lead, both standalone and related to a sequence. Click on + New to-do to create a new standalone task for the contact.
Activity — surface global activity for the contact.
For Account Lists, open a company in the list. When it is linked to an account, the same panel as the Accounts page opens: the owner, and the Overview, Notes, Activity, and Contacts tabs. AI qualification for that list entry shows in Overview when the list has criteria. Name, website, and LinkedIn show the value from when the company was added (When added to this list on …) or, on a CRM list, In your CRM at the last sync. A company that is not linked to an account yet still opens the company panel.
