How does list monitoring work?

Context

You want to build a large lead list over time without importing all your leads at once. This article explains how the monitoring feature works, how to set it up, and why the number of imported leads may sometimes be lower than the number you requested.

Monitoring lets you set a recurring import cadence on a list. Instead of importing all your leads in one go, the agent automatically refills your list with new matching leads at the frequency you choose. This is the recommended way to build large lists while keeping credit usage spread out over time.

How to activate monitoring

  1. Open your list and go to the lead search builder.

  2. Click Import and select "Automatic import", then the number of leads you want imported per cycle (e.g. 30).

  3. Choose a frequency: daily or weekly.

  4. Confirm. The agent will import that number of new matching leads at each cycle going forward.

Alternatively, you can do a one-time manual import of up to 100 leads. This does not activate monitoring and will not repeat automatically.

Tip: The auto-import schedule for each list is visible directly in the Lists overview (30 / day, 100 / week, or Off) — no need to open each list to check whether monitoring is active.

Why you may receive fewer leads than requested

When you request 30 leads per cycle, you may notice fewer than 30 actually land in your list. This is expected. When an import is triggered, Topo attempts to enrich each lead with data points such as their email address. Leads are excluded if:

  • Their company is on your exclusion list

  • They are personally on your exclusion list

  • They cannot be enriched (e.g. no email address found)

Only successfully enriched leads that pass these checks are added to your list. The gap between the number requested and the number imported is a normal result of this process.
