Understanding the Lists page

Lists 101. The goal of this article is to give users a complete walkthrough of the Lists section in Topo — from navigating the lists overview to inspecting individual contacts — so they can confidently manage their prospecting lists.


The Lists overview page

When you open the Lists page, you'll see a table showing every list created by anyone in your organisation. Each row displays:

  • List name

  • Category: Lead database, Signal monitoring, Linkedin search, Your list

  • Number of enriched leads in the list (Pending and Rejected excluded)

  • Auto-import schedule — e.g. 30 / day, 100 / week, or Off

  • Creation date

  • Actions

Finding and filtering lists

  • Use the search bar (top left) to find a list by name.

  • Use the filter options (top left): by Category or Monitoring.

Taking action on lists

  • Select one or more lists using the checkboxes on the left side of the table.

  • Open the action menu by clicking the three-dot icon on the right side of any row. From there you can:

    1. Link/unlink the list to a sequence

    2. Edit the list

    3. Rename it

    4. Duplicate it

    5. Delete it


Creating a new list

  1. Click the New Lead Search button at the top right of the page.

  2. You'll land on the list creation interface where you can either prompt the agent with your targeting criteria or pick one of the targeting cards presented to you.


Inside a list

Click on any list name to open it. You'll see all the leads that currently belong to that list, along with several actions at the top of the page:

  • Import leads — opens the import modal, where you can edit your search filters, set an auto-import schedule, or trigger an immediate import

  • Link to a sequence — shows the linked sequence name when a sequence is connected; click to link or update

  • Export — click the three-dot menu, then Export

  • Rename — click the three-dot menu, then Rename

  • Change sequence — click the three-dot menu, then "Enroll in sequence"

  • Quickly perform sequence actions on (one or) several leads at the same time: Enroll in sequence, Approve, Refuse.


Monitoring

Monitoring tells the agent to automatically add new leads to a list on a recurring basis.

  1. Open the list you want to monitor.

  2. Toggle Auto-import on.

  3. In the window that appears, choose your settings:

    1. One-time import

    2. Automatic import

      • Frequency — daily or weekly

      • Maximum number of leads to add per cycle

Toggle the same switch off at any time to pause monitoring.


Working with individual contacts

From inside a list, each row represents a lead. Here's what you can do:

Quick actions

  • Click the LinkedIn icon to the left of a lead's name to open their LinkedIn profile in a new tab.

  • Click on the lead's name, job title, or sequence to open the contact detail drawer.

The panel gives you a summary of the lead:

From this panel, you can also approve or reject individual leads using the Approve/Reject buttons. Note that this method works for one lead at a time — bulk approval is not available from the detail panel.

You'll also find direct links to the lead's LinkedIn profile and the company website.

Contact tabs

At the top of the detail panel, you can navigate between three tabs:

  • Overview — the default view with contact and company details described above.

  • Sequence — if the list is enrolled in a sequence, this tab shows the sequence steps the contact is going through (or will go through). You can assign a sender to test variables, inspect and edit individual messages, and take action on steps.

  • Activity — surface global activity for the contact.
