Understanding the Tasks page

Last updated: October 22, 2026

Tasks is where you work through everything that needs you: replies from your leads, new leads to approve, calls to make and your own to-dos. Topo creates most tasks automatically. You can also add your own.

You'll find Tasks in the left sidebar. The badge next to it shows what's waiting for you.

The four tabs

Tab

What's in it

Inbox

Your conversations with leads, on email and LinkedIn. This is where the Master Inbox lives now. Its count shows the conversations waiting for your reply. See 📄 Understanding the Inbox tab.

To review

New leads in Copilot mode, waiting for you to approve or refuse them before their sequence starts. See 📄 Approving or declining a lead (Copilot mode).

Calls

Leads who have reached a Call step in a sequence. See 📄 Making a call from Tasks.

To-dos

Tasks you created yourself, outside any sequence. See 📄 Creating a standalone to-do.

Each tab shows a count, so you can see at a glance where the work is.

Finding a task

The list on the left works the same way on every tab:

  • Search by lead name

  • Sort the list

  • Filters to narrow it down: by sequence, list or lead timezone (on the Inbox tab, by reply category, channel, sender identity, or unread only)

  • Assigned to shows Me, one or more teammates, Unassigned, or everyone (Anyone). You can select Me, teammates, and Unassigned together. With one choice selected, the control shows that label. With several selected, it shows how many, such as 2 selected. Anyone shows every task.

On the Calls tab, the Callable now pill shows only the leads you can call right now. Tasks that are running late show a red warning icon with how long they've waited. The list shows 25 tasks per page.

The lead panel

Click a task and the lead opens on the right, with the same header on every tab: name, job title, LinkedIn, your CRM, company, location, and the signal or sequence step that brought them here. Click Contact details for their full record. Quick Icebreakers give you a few ways to open the conversation.

How tasks are assigned

This applies to the tasks Topo creates automatically. A to-do's assignee is set when you create it and defaults to you, and it can be changed later with Reassign.

Task assignment is controlled by two settings.

Owner assignment (Settings → Engage → Assignment) sets the global logic:

  • Per sequence: assignment follows the configuration on each sequence

  • Per contact: tasks for a contact always go to the team member who owns them

  • Per company: tasks for all contacts at a company go to the team member who owns that company

If your organisation uses CRM owner sync with the CRM as the source of truth, an imported lead that already has an owner in your CRM keeps that owner, and round robin skips it. Round robin only fills leads with no CRM owner.

Sequence-level assignment (Sequence Settings → Assignment) sets who can receive tasks from that sequence:

  • Any team member: round robin across the whole team

  • Selected team members: round robin among chosen members

  • Based on sending identity: assigned to the team member linked to the identity that sent the message

Note: Sequence assignment settings are applied based on the configuration active when the sequence was created. If you update a sequence's assignment settings, only new tasks created after the change will use the new configuration. Existing tasks will continue to reflect the original settings.

To hand a task to a teammate, open the lead's Contact details and pick them under Task owner.

After you close a task

To find tasks you've completed or archived, open Filters and turn on Done. For conversations, pick Archived in the Inbox tab's view menu.

Closed means closed. A task only reopens if a reminder rule triggers, or if the lead replies again, which creates a new task. Reopened tasks show a reminder icon so you can tell them apart from fresh ones. To-dos are the exception: you can reopen one yourself at any time.
